How to Manage Your Inventory

How to manage inventory for all products

Updated today

Overview

Never overbook your oven again! Bakeshop automatically tracks your inventory as orders roll in, so you never accidentally sell more than you can bake. This guide will show you how to set stock limits, control how many items a single customer can buy, and manually mark items as sold out when you reach your limit.

Prerequisites

  • Your Bakeshop storefront is active.

  • You have already added products to your Everyday Menu or scheduled Drops.

Step 1: Access your inventory settings

Let’s look at your digital pantry.

  1. Navigate to your Bakeshop dashboard.

  2. Click on Products in the left-hand menu, then select Inventory.

Step 2: Choose a product to edit

You can manage the stock for both your staple items and your limited-time specials all in one place.

  1. Locate the item you want to update under either the Everyday Menu section or the Drops section.

  2. Click the pink Edit button on the right side of the product row.

Step 3: Set your stock levels

Tell Bakeshop exactly how much you can handle.

  1. For endless bakes: If you can make an infinite amount of an item (like standard drop cookies), check the Unlimited box.

  2. For limited bakes: If you only have enough ingredients or time for a specific amount, leave the Unlimited box unchecked. Type your maximum number in the Enter inventory count box.

Pro Tip: Once you set a specific inventory count, Bakeshop will automatically decrease the number with every order. When it reaches 0, the product will automatically show as "Sold Out" on your storefront!

Step 4: Set limits per customer

Sometimes you need to make sure there are enough treats to go around!

  1. Min Per Order: Require customers to buy a minimum amount (e.g., set to "12" if you only sell cupcakes by the dozen).

  2. Max Per Order: Cap how many a single person can buy so one customer doesn't clear out your whole stock.

Step 5: Manually marking items as "Sold Out"

Did you run out of an ingredient or just need a break? You can cut off sales instantly.

  1. Check the box labeled Mark as Sold Out. This will keep the item visible on your storefront so customers can see what you offer, but they will not be able to add it to their cart.

  2. When you are done making changes, click the pink Save button.

Your inventory is now updated and perfectly synced with your live storefront!
